Working from home, in the office, on the train, in a hotel\u2014camera on, mic on, <em>\u201cCan you hear me?\u201d<\/em>. <\/p>\n\n<!--more-->\n\n<p>By now, we should all be absolute pros. Like driving: if you\u2019ve got thousands of miles of experience, you automatically drive better\u2014right? Unfortunately, no. If you drive a lot, you mainly become one thing: practiced. Whether you develop good or bad habits is a completely different question.    <\/p>\n\n<p>It\u2019s the same with online meetings: <strong>frequency does not replace quality.<\/strong> We\u2019ve learned how to find the mic\u2014but not necessarily how to truly <strong>come across<\/strong> effectively online. <\/p>\n\n<h2 class=\"wp-block-heading\">Routine is not the same as professionalism<\/h2>\n\n<p>In the \u201coffline world,\u201d we would never think of saying:<br\/>\u201cI\u2019ve been giving presentations for years, so I don\u2019t need to prepare anymore.\u201d<\/p>\n\n<p>Online, we do it all the time:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>The camera is positioned however it happens to be.<\/li>\n\n\n\n<li>The light comes \u201cfrom somewhere.\u201d<\/li>\n\n\n\n<li>The screen is a colorful jumble of files, tabs, and notifications.<\/li>\n\n\n\n<li>Teams, Zoom, or Webex settings? Clicked once at some point\u2014never looked at again. <\/li>\n<\/ul>\n\n<p>The problem: <strong>our meeting routine has developed faster than our quality standards.<\/strong> We\u2019ve learned how to get through somehow\u2014not how to stand out with confidence.<\/p>\n\n<p>At the same time, expectations have risen: clients, colleagues, leaders\u2014everyone is tired of mediocre meetings. Anyone who comes across as clear, structured, and professional today stands out immediately. <\/p>\n\n<h2 class=\"wp-block-heading\">Three common online meeting pitfalls<\/h2>\n\n<p>Let\u2019s look at a few classics you definitely know\u2014maybe even from your own experience:<\/p>\n\n<h3 class=\"wp-block-heading\">1. \u201cWe can\u2019t see you, but we can kind of hear you\u201d<\/h3>\n\n<p>The tech works \u201csort of\u201d: the image is dark, backlight from the window, camera from below (complete with Zoom chin), audio okay but echoey.<\/p>\n\n<p>The message on the relationship level:<br\/><em>\u201cI didn\u2019t really bother.\u201d<\/em><\/p>\n\n<p>Often, it\u2019s the small things: a front-facing light source, camera at eye level, a tidy real background. These basics are part of a professional virtual presence\u2014and can be handled with two or three conscious decisions.  <\/p>\n\n<h3 class=\"wp-block-heading\">2. \u201cI\u2019ll just share\u2026 oh\u2026 wait\u2026 wrong screen\u201d<\/h3>\n\n<p>You share your screen and everyone sees:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>47 files on the desktop<\/li>\n\n\n\n<li>12 bright red badges in Outlook or Teams<\/li>\n\n\n\n<li>the private browser tab with \u201ccheap Tuscany vacation\u201d<\/li>\n<\/ul>\n\n<p>Content-wise, your presentation may be excellent. But by the time you\u2019ve found the right slide, some of the attention is gone\u2014and a bit of trust along with it.  <\/p>\n\n<p>Here, too, it\u2019s simple routines: turn off system notifications, quickly tidy up the desktop (quick fix: create a \u201cDesktop\u201d folder and move everything in), hide the bookmarks bar, test Presenter View before the meeting starts. <\/p>\n\n<h3 class=\"wp-block-heading\">3. \u201cTeams will do that automatically\u201d<\/h3>\n\n<p>Many people see Microsoft Teams, Zoom &amp; Co. as neutral infrastructure: send a link, join, done.<\/p>\n\n<p>In reality, you make a series of decisions <strong>before<\/strong> the meeting even starts:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Who can bypass the lobby?<\/li>\n\n\n\n<li>Who is the host, who is the presenter, who is a guest?<\/li>\n\n\n\n<li>Are Q&amp;A, chat, or reactions helpful\u2014or more distracting?<\/li>\n\n\n\n<li>Are breakout rooms prepared, or will we be guessing mid-meeting who goes where?<\/li>\n<\/ul>\n\n<p>These small decisions determine whether your meeting feels structured and professional\u2014or random and improvised.
